Client dashboard terms

Last updated October 25, 2026

Draft. Final wording pending legal review.

About these terms

These terms are part of the agreement between Raremind Advisors Limited (brand: Cuspyr) ("we") and the practice named in the Order Form or at checkout ("you"). "Dashboard" means the online workspace we give you to see and work your inquiries, calls, appointments, tasks and reports, whether it runs on our own software or on a platform we provide.

1. Your accounts

1.1 We set up an Owner account for the person you name. The Owner can add and remove users and choose each user's role (Owner or Staff), and manages the practice's settings and exports.

1.2 Only your employees and people working for your practice under your control may have accounts. Each person has their own login. No shared logins.

1.3 Two-step sign-in (an authenticator app or a code) is required for every user who can see patient or lead information.

1.4 When someone leaves your practice or no longer needs access, remove them (or ask us to) within 1 business day.

1.5 You're responsible for what your users do in the dashboard, and for making sure they follow these terms.

2. Using it properly

Your users must not:

  • share logins, or let anyone else use their account;
  • enter information we don't need (clinical records, diagnoses, X-rays or images, health card, insurance or social insurance numbers, payment card details), except in fields we've made for it;
  • export or copy patient or lead information except for your practice's own care and business, and keep any exports secure;
  • use the dashboard to contact people who haven't agreed to be contacted, or in breach of the contact rules in the agreement;
  • try to get into other practices' data, test or probe our security, copy or reverse-engineer the software, or upload anything harmful;
  • use it in breach of the law or of a platform's rules.

3. Security

3.1 Tell us straight away (security@cuspyr.com, or sid@cuspyr.com) if you think a login has been lost, shared or misused, or you see anything that looks like someone else's data.

3.2 We may lock a user, or pause access for your practice, to stop a suspected security problem or misuse. We'll tell you why and restore access as soon as it's safe.

3.3 We keep a log of sign-ins, invites, role changes, exports and every view or change of patient or lead information, including by Cuspyr staff. The Owner can ask for the log of your practice's users.

3.4 Cuspyr staff look at your practice's dashboard only to set up, support or fix the service, or when you ask. Every such view is logged.

4. What the dashboard shows

4.1 Numbers come from your connected accounts and our records, and can lag a few minutes. Estimated revenue is labelled as an estimate (shows × the case value you set) and isn't a statement of what your practice earned.

4.2 Guarantee counts in the dashboard follow the Guarantee Terms. If a count looks wrong, tell us within 5 business days.

4.3 Anything labelled sample or demo uses made-up data.

5. Availability and changes

5.1 We work to keep the dashboard available, secure and accurate, but we don't promise it will never be down. We schedule planned maintenance outside your office hours where we can. If the dashboard is down, the service itself (replies, calls, reminders) keeps running where it can.

5.2 We may improve or change features. We won't remove a feature that's central to your plan without telling you at least 30 days ahead.

5.3 If you use the platform's own mobile app or features beyond what we set up, that platform's terms also apply.

6. Your data in the dashboard

Your patients' and leads' information in the dashboard is Practice Data under the Data Terms (and the BAA for US practices): it's yours, we handle it only on your behalf, and the security, breach, retention and deletion rules there apply.

7. When the agreement ends

User access ends when the agreement ends. The Owner can export your data during the agreement and for 30 days after. Then we delete it as the Data Terms say. If your dashboard runs on a platform account in your practice's name, that account and its data stay yours.

8. Ideas and feedback

If you suggest improvements, we may use them freely. We won't name you or share your data in doing so.
